1. Introduction


Welcome to the Golden Dolls Dance Company! We are thrilled to have you as part of our team. This handbook outlines everything you need to know to ensure a successful and enjoyable dance experience for both dancers and their families.


2. Communication

  • Website & Group Chats: Official communication will take place through the Golden Dolls website and designated group chats (e.g., GroupMe or Band app).
  • Emergencies: For emergencies, the website contains updated contact information and resources.

3. Emergency / Medical Protocol

  • Parents/guardians must inform staff of any medical conditions or allergies.
  • If a coach informs a parent/guardian of an injury that requires a brace or protective gear (e.g., ankle brace, knee brace, shin guard), the dancer MUST wear it.
  • Failure to wear required medical equipment will result in the dancer not being allowed to participate or perform.

4. Attendance & Participation

Attendance at practices, performances, and competitions is mandatory even if a dancer is injured or benched unless excused by your coach.  Please remind your coach the day prior to your absence and submit a written note or send an email.. If you have an unexcused absence from practice the week of performance/competition, you will not be allowed to perform . Dismissal could occur for dancers who “no show” on performance, practice or competition days.

  1. As a member of this team you must commit to ALL scheduled practice days and performances. Without 24 hour notice practice absence is  unexcused. ANY ABSENCE OCCURRED WITHOUT 24hr notice or with out notifying director/coach will be marked as( 2)absences
  2. Excused absences from practice are defined as: 1) a sudden illness that results in a doctor’s visit and is accompanied by a doctor’s note, 2) an illness that results in a student checking out of school through the school clinic, 3) an absence due to illness and the Director(s) are notified the day of the absence by the student or parent, 4) a school activity, 5) a religious holiday, and/or 6) a death in the family    
  3. Members may be removed from individual dances and/or performances for excessive excused or unexcused absences
  4. Once dancer returns to practice there will be disciplinary actions and extended training required to participate in day to day practice with the rest of the team. 


5. Dancer an Parent Code of Conduct

1.Dancersare expected to:

  • Arrive on time with the correct attire and a positive attitude.
  • Treat all coaches, teammates, and competitors with respect.
  • Avoid gossip, bullying, or any behavior that disrupts team unity.

2. Commitment & Responsibility

  • Attend all classes, rehearsals, and performances on time.
  • Communicate promptly about absences, illnesses, or scheduling conflicts.
  • Come prepared with proper attire, shoes, and equipment for every class.
  • Demonstrate effort, focus, and a positive attitude in every activity.

3. Behavior & Discipline

  • Follow instructions and guidance from instructors and coaches.
  • Use appropriate language and behavior at all times, including in the studio, at events, and on social media.
  • Refrain from actions that endanger myself, others, or the studio environment.

4. Representation & Professionalism

  • Represent GDDC positively in all settings, on and off-stage.
  • Maintain good sportsmanship during rehearsals, performances, and competitions.
  • Uphold the values of grace, dedication, and excellence that define GDDC.

Parents

1. Respect & Communication

  • Treat all staff, instructors, coaches, and dancers with respect.
  • Communicate concerns professionally and privately, avoiding public criticism of staff or other families.
  • Respect staff decisions regarding classes, rehearsals, choreography, and performances.

2. Commitment & Support

  • Ensure my dancer arrives on time and prepared for all classes, rehearsals, and performances.
  • Notify staff promptly of absences, illnesses, or scheduling conflicts.
  • Support my dancer’s practice at home and encourage effort and positive attitude.

3. Behavior & Professionalism

  • Follow all studio policies, safety rules, and performance requirements.
  • Avoid interference in class instruction or rehearsal unless requested by staff.
  • Model respectful behavior, teamwork, and sportsmanship for all dancers.

4. Representation

  • Promote GDDC positively in the community and on social media.
  • Support the values of GDDC by reinforcing discipline, teamwork, and dedication at home.
  • Attend parent meetings, workshops, and events when possible to support the company and my dancer.



6. Dismissal Policy ( 3 Point System)

To maintain excellence, professionalism, and accountability, 

Dolls Dance Company (GDDC) follows a 3-Point System that applies to all members in dancers, coaches and staff.

This system is designed to encourage responsibility and respect while giving each individual the opportunity to correct behavior before further action is taken.

⚖️ The 3-Point System

Everyone begins the season with zero (0) points.

Points are given when one fails to meet GDDC expectations regarding attendance, conduct, or commitment.

1 Point = Minor infraction (warning issued)

2 Points = Second infraction (parent conference required)

3 Points = Dismissal from the company or suspension from performances


🩰 Examples of Infractions

1-Point Infractions (Warning Level)

These are minor but important issues that affect the team’s professionalism or preparedness.

Tardy arrival to class, rehearsal, or performance (without notice)

Missing required attire or shoes

Talking, disruptive behavior, or lack of focus during class

Failure to bring required materials (costume pieces, shoes, etc.)

Disrespectful attitude toward peers or instructors (first occurrence)


2-Point Infractions (Conference Level)

Repeated or more serious issues that require a parent/guardian meeting

Repeated tardiness or absences

Disregard of teacher directions or choreography

Ongoing lack of effort, poor attitude, or negative influence on the team

Failure to communicate schedule conflicts or missed performances

Inappropriate language or social media conduct related to GDDC


For Staff/Coaches:

Unprofessional conduct or communication toward students, parents, or coworkers

Repeated tardiness or unpreparedness for class

Failure to follow GDDC protocols or Director guidance

Use of language or tone inconsistent with GDDC values

2 or more Complaints


Professional Emails will be issued to parties involved including the director to attempt to resolve issue before further action is taken


3-Point Infractions (Dismissal Level)

Major violations that damage the integrity or safety of the company.

Accumulating three (3) points during a season will result in dismissal from GDDC.

Examples include:

Bullying, harassment, or disrespectful conduct toward staff, peers, or parents

Verbal or physical altercations

Chronic absences or failure to attend mandatory performances/events

Repeated disregard for studio policies or instructor authority

Behavior outside the studio that negatively represents GDDC

For Staff/Coaches

Unprofessional or unethical behavior (including favoritism, harassment, or misconduct)

Publicly disparaging GDDC or its members

Breach of confidentiality or failure to represent the company with integrity

Any behavior endangering the safety or trust of dancers or parents

Final Note:

Disciplinary actions are not meant to punish—but to protect the integrity, safety, and unity of our dance family. Our goal is to support growth, learning, and accountability for all members.

When one person is out of alignment, the whole team feels it.

We rise together, we correct together, we shine together.


7.Fundraising and Volunteer Requirements

All families are expected to participate in mandatory fundraisers to help cover group expenses.

Volunteer hours may be required during events, performances, or travel.

Opt-out fees may apply if a family chooses not to participate in a fundraiser.


8. Travel Expectations

Dancers represent Golden Dolls at all times while traveling.

Uniformed dress code must be followed during group trips.

Curfews will be enforced for all out-of-town events.

Parents/guardians must submit all signed travel waivers and medical forms before departure.


9. Roles and Responsibilities of Staff


At Golden Dolls Dance Company, our staff members are more than instructors—they are mentors, leaders, and vision holders who work together to ensure a safe, creative, and empowering experience for every dancer. Each role is vital in upholding the standards and success of the company.


 

Director / Owner

Oversees all company operations and strategic vision

Sets company policies, standards, and performance expectations

Manages registration, tuition, and communication with parents

Leads disciplinary meetings and resolves escalated concerns

Approves choreography, travel plans, and fundraising initiatives

 

Head Coach / Lead Instructor

Develops and teaches core choreography and routines

Leads weekly practices and ensures proper technique is enforced

Tracks dancer progress and placement

Enforces dress code, attendance, and behavioral expectations

Communicates directly with dancers about performance readiness

Provides correctional feedback and encouragement


Assistant Coach / Jr. Instructor

Assists with warmups, technique, and choreography review

Helps manage dancer behavior and reinforce instructions

Monitors small group work and provides hands-on support

Serves as a role model to younger dancers

Steps in during lead instructor absences as needed

. 

Team Coordinator / Parent Liaison

Acts as the communication bridge between staff and parents

Shares reminders, schedules, and announcements

Coordinates volunteer sign-ups, travel logistics, and team meals

Helps manage costume orders, event registration, and deadlines

Answers parent questions and directs concerns to the correct staff member

 

Chaperones / Event Volunteers

Supervise dancers during performances, travel, and parades

Help with costume changes, lineup, and personal safety

Follow and enforce company expectations for professionalism

Must be approved by the Director and follow all guidelines


A Staff Accountability

All staff members are expected to:

Maintain professionalism and confidentiality at all times

Uphold Golden Dolls’ values of excellence, inclusion, and discipline

Create a positive, supportive, and respectful environment

Model leadership for dancers and families on and off the floor


Agreement


By joining the Golden Dolls Dance Company, all dancers and guardians agree to:

Abide by the rules in this handbook.

Represent the team with excellence.

Prioritize commitment, teamwork, and growth.


Submission of registration or first payment indicates agreement with all handbook terms.



DRESS CODE


ALL students must wear assigned team practice attire, black leotard, unitard , or biketard ONLY

If are not in your correct practice attire you will not be allowed to practice for that day and your child's absence will be unexcused.
